How do I set up a new account?

 

Go to https://wecc.cayzu.com and click “Sign-up” in the upper right-hand corner. Follow the directions and you will receive an email invitation to set up your account.

How do I submit a Communications request?

Go to https://wecc.cayzu.com and click on “Submit a Request” in the upper right-hand corner.

 

Can I just email?

Email is great for communicating but bad for project management. Using email for project management is the quickest way to confuse the workflow. Do not send emails to a Comm team member about your project. Instead, use our end portal to submit and track the progress of your request.

 

Can I just text?
Texting is an informal channel, not designed for project management. Please do not text a Comm team member with details regarding any project. Instead, post your update in the original CommReqs ticket.

 

Can I make a request without going through CommReqs?

Even though we would like to talk to you, we ask that you please do not contact Communications Team members directly when initiating or checking on the status of a project. Going through CommReqs is the most efficient way.


Can I submit a request as a placeholder?

No. All requests must have all the finalized information provided. The proper flow of information is vitally important if we’re to keep everything organized and accomplish projects in an efficient manner. 

 

Can I submit a bunch of dates and registration forms for my recurring event to appear on the web calendar?

Yes! We can add all of your dates at once as long as you have complete information, including registration forms.

 

When will my request be processed?
Requests are processed in 24-48 hours, or up to two business days. This is the timeline the Communications Team has to retrieve, review, research and respond to a ticket. This does not mean your request will be completed within two days.

 

How do I submit a change or update to my CommReq?
All changes should be posted in the original CommReqs ticket. Please do not submit additional tickets related to an existing project already in the ticketing system. One project = one ticket.

 

What is considered a business day by Communications?
Communications project managers work Monday through Friday and calculate a business day based on this schedule.

 

Can I submit a CommReqs after business hours?

Of course, but the two business day timeline will begin on the next business day. (e.g. If you submit a CommReqs ticket at 9 p.m., the response clock starts at 8 a.m. the next business day.)

 

Should I submit a CommReqs for a video project?
Yes. All project requests, including video, should use the CommReqs process. Video will always require a follow-up meeting. Be aware that video projects are our most labor-intensive projects and have a much longer lead time.

 

I found an image online. Can I submit it with my ticket? 
In most cases, we cannot incorporate an image found on the Web into our design work. It's never a best practice to "borrow" another designer's work and may be illegal if the found image is copyrighted. All graphic design should be the original work of a Communications designer.

 

Why did Communications edit the verbiage I submitted?
There is a myriad of editorial and design reasons behind any edit. In short, the Communications team is ultimately responsible for the editorial integrity of all marketing and communications. Therefore everything, from marketing verbiage to imagery, will reflect Communications' standards and practices.

 

How can I get a new project completed on the same day?
Same-day requests must be considered in the context of the Communications Team's existing workload. The Communications Team is typically juggling 10-20 projects in any given week. Bypassing our process has a domino effect and keeps a project manager from hitting deadlines already in motion. Most "emergency" requests are the result of a lack of planning by the requestor, so please strive to plan well in advance of your deadlines.


My ticket says my project deadline has been changed. Why?

When new details are introduced to an ongoing project it changes the project scope. The Communications Team invests many hours in the planning, design, and layout of every project. Submitting "late-breaking" info, images, or ideas requires a designer and/or editor to go back to the drawing board, literally. Deadline extensions are required for any project changes.


Why the two-day timeline on CommReqs?

The timeline is a practical reflection of the Communications Team’s daily responsibilities. Remember, we serve approximately 10 ministries at West End Community.


I requested an announcement to be placed in [insert channel name]. Why did this request get declined?
Starting in August 2021, West End Community has adopted a more conventional centralized communications model, typically referred to as "corporate communications." This centralized approach places responsibility for global communication channels (e.g. bulletins, website, email, social media) onto the church's Communications Team. The resulting process is Communications now takes every request and weighs it relative to everything happening around the organization, in an effort to determine what is most strategic to communicate and when.
